Privacy Policy

Version 2.0 · Effective Date: 28 October 2026

1. Who We Are

AcadXplore is a mobile app and website owned and operated by AJC TECHNOLOGIES PRIVATE LIMITED ("AcadXplore", "we", "us" or "our"), a company incorporated in India. We are the data fiduciary / controller for the personal information described in this Privacy Policy.

AcadXplore helps students and parents discover and contact education providers — colleges, schools, coaching institutes, tutors, course providers and PG (paying guest) and hostel owners ("Partners"). This Privacy Policy applies to the AcadXplore student app, the AcadXplore Partner app, and this website (together, the "Platform"). It explains what we collect, why, who we share it with, and the choices you have.

By creating an account or using the Platform you agree to this Policy. If you do not agree, please do not use the Platform.

2. Information We Collect

Account information

Name, email address, phone number (verified by a one-time password sent by SMS), password (stored only as a salted hash), and your role (student or Partner). If you sign in with Google, we receive your name, email address, Google account ID and profile photo from Google.

Student profile information

Details you add, such as profile photo, date of birth, gender, current class or grade, academic background, career interests, preferred cities and areas, willingness to relocate, saved addresses, and your onboarding answers (for example your goal, state, city and stream). We also store your settings: profile visibility, notification preferences (push, SMS, email, WhatsApp and promotional messages) and whether two-factor authentication is on.

Activity and application information

Colleges, courses, tutors and PGs you save or compare, collections you create, searches, applications, enquiries and callback requests you send to Partners, messages and attachments exchanged with Partners in the app, reviews, ratings, feedback and issue reports you submit (including any attachments), and which Partner profiles you open (we record at most one view per Partner per day so that Partners can see how many people viewed their profile).

Documents and files you upload

Documents you add to your profile (for example marksheets or ID proofs) and files you attach to applications or issue reports. A copy of selected documents is shared with a Partner only when you apply to or send them a request.

Partner information

For Partners: business or institute name, type, address and location, contact details, listing content (descriptions, photos, fees, facilities), team member details, and verification documents such as registration certificate, government ID, GST certificate, board affiliation, qualification and experience proof, and property ownership or rent NOC documents. Partners may also add team members (name, email address and role), branches or additional businesses, support tickets, and lead and callback records about prospective students. Partners are responsible for having the right to enter the personal data of any person they record. For security, the Partner app stores trusted device names and location labels and, if two-factor authentication is on, recovery codes.

PG and accommodation information

When you search for or contact a PG, we process your preferred areas and the enquiries you send. PG owners who list on AcadXplore provide property details (address, room and amenity information, photos, rent) and may upload ownership or rent NOC documents for verification. If you enquire about a PG, the PG owner receives the details needed to respond, such as your name and contact information, and may contact you directly. Rent and deposits are arranged directly with the PG owner; AcadXplore does not collect them.

Subscription and payment information

AcadXplore does not collect any payment from students or parents, and has no payout feature, so we hold no payment or bank details of students or parents. Our revenue comes from subscription plans that Partners pay for through Razorpay. We receive the plan, amount, payment status, transaction identifiers and payment method type (such as UPI or card). We do not receive or store full card numbers, CVV or UPI PINs; these are handled by Razorpay. AcadXplore does not charge students for using the student app.

Location

With your permission, the precise or approximate location of your device while the app is in use, to show nearby colleges, PGs, tutors and courses. When you search for a place, your search text or coordinates are sent through our servers to Google Maps Platform (Places and Geocoding) to return results. Partners provide a business address and may use the same search. We do not track your location in the background.

Voice search

If you use voice search, your device's speech recognition service (provided by Google on Android or Apple on iOS) converts your speech to text. AcadXplore receives only the resulting text query; we do not record or store your voice.

Device and technical information

Push notification token, device platform, app version, IP address, a trusted device name for Partner security settings, and session and diagnostic information needed to keep the Platform secure and working.

3. How We Use Your Information

  • Create and secure your account, verify your phone number and sign you in
  • Show relevant colleges, PGs, tutors and courses, including nearby results
  • Deliver your applications, enquiries, callback requests and messages to the Partners you choose
  • Verify Partners and review the documents they submit
  • Process Partner subscription payments and manage plans and lead limits
  • Send notifications about applications, messages, deadlines and your account
  • Provide customer support and handle feedback and issue reports
  • Let our staff review Partner content and verification documents before they go live, and help users with support requests
  • Moderate reviews and content, and detect and prevent fraud, abuse and misuse
  • Improve the Platform and comply with legal obligations

We do not sell your personal information, and we do not use it to show third-party advertising.

4. App Permissions

  • Location — find nearby colleges, PGs, tutors and courses. Used only while the app is open.
  • Camera — take a profile photo or a photo of a document you choose to upload.
  • Photos and files — pick an image or document you choose to upload. We access only the items you select.
  • Microphone and speech recognition — voice search, only when you tap the microphone.
  • Notifications — application updates, messages and reminders.

You can allow or revoke each permission at any time in your device settings. Features that depend on a permission will not work without it, but you can still use the rest of the Platform.

5. Who We Share Information With

Partners

When you apply to, enquire with, message or request a callback from a Partner, we share the details needed for that request (such as your name, contact details, profile information and any documents you attach) with that Partner. Partners are independent and handle that information under their own policies. Your Profile Visibility setting (Public Profile, Only Colleges You Applied To, or Private) controls which Partners can view your profile.

Our team

Authorised AcadXplore staff and administrators can access account, application and document data where needed to verify Partners, review content, provide support and keep the Platform safe.

Service providers

We use trusted providers to operate the Platform. They may process data only on our instructions:

  • Google — Google Sign-In, Google Places / Maps for location search, and speech recognition on Android
  • Firebase Cloud Messaging (Google) — push notification delivery
  • MSG91 — sending one-time passwords by SMS
  • Razorpay — Partner subscription payments and invoices. Razorpay may collect device and transaction information under its own privacy policy.
  • Resend — transactional emails and support email
  • Cloud hosting and database providers — storing and serving data

Legal and safety

We may disclose information when required by law or legal process, or to protect the rights, safety and security of users, Partners and the Platform. If AJC TECHNOLOGIES PRIVATE LIMITED is involved in a merger, acquisition or sale of assets, information may be transferred as part of that transaction, and we will tell you if your information becomes subject to a different policy.

If you tap a WhatsApp, phone or email option, or open a brochure link, the information you send goes to that app or website, which has its own privacy practices. Some providers may process data on servers outside India. We take steps to ensure they protect it appropriately.

6. Data Security

We use HTTPS/TLS encryption in transit, hashed passwords, token-based authentication, secure on-device storage for sign-in tokens, short-lived signed links for opening private documents, and role-based access controls. No online service can be completely secure, so we cannot guarantee absolute security. If we become aware of a personal data breach, we will act promptly and notify affected users and authorities as required by law.

7. Data Retention

We keep your information while your account is active and as needed to provide the Platform. When you delete your account, your account and the profile data, saved items, applications, messages and uploaded documents linked to it are deleted from our systems (see Section 8). We may keep limited records only where the law requires it, for example payment and tax records, or where needed to resolve disputes, enforce our terms and prevent fraud, and only for as long as necessary for that purpose.

Information that you shared with a Partner before deleting your account, such as an application, enquiry, callback request or message, may remain with that Partner under the Partner's own policies. Reviews you posted may remain visible without a link to your account.

8. Delete Your Account and Data

You can delete your account and data at any time:

  • In the app (students): Profile → Privacy & Security → Delete Account, then confirm.
  • In the Partner app: use Delete Account in your account settings and confirm with your password.
  • Without the app: use the Contact Us form and choose "Delete my account or data", or email ajc.technologies.pvt.ltd@gmail.com or acadxplore@gmail.com from the email address registered to your account. We may ask you to verify your identity first.

Deletion is permanent and cannot be undone. It removes your account and the data linked to it, except for the limited records described in Section 7.

9. Your Rights and Choices

Subject to applicable law, including India's Digital Personal Data Protection Act, 2023, you have the right to:

  • Access the personal information we hold about you, including a copy of your data (Profile → Privacy & Security → Download my Data)
  • Correct or update inaccurate information (most details can be edited in the app)
  • Request deletion of your information (see Section 8)
  • Withdraw consent where processing is based on consent, such as location, notifications or camera access
  • Nominate another person to exercise your rights in case of death or incapacity
  • Raise a grievance (see Section 12)

To exercise these rights, use the Contact Us form or email ajc.technologies.pvt.ltd@gmail.com or acadxplore@gmail.com. We aim to respond within 30 days.

10. Children

AcadXplore lists education options for learners of all ages, including school students. Anyone under 18 may use the Platform only through an account created and managed by, or with the verifiable consent of, a parent or legal guardian, who is responsible for the child's use. We do not knowingly create accounts for children without that consent, we do not track or monitor children's behaviour for advertising, and we do not show them targeted advertising.

If you believe a child has given us personal information without a parent's or guardian's consent, or you want to report a child-safety concern, email ajc.technologies.pvt.ltd@gmail.com or acadxplore@gmail.com or use our Contact Us page, and we will act on it promptly, including by deleting the information.

11. Cookies on Our Website

Our website uses only essential technologies needed for it to function. The mobile apps do not use advertising identifiers or third-party advertising trackers.

12. Grievance Officer and Contact

If you have a question, complaint or request about your personal information, contact our Grievance Officer:

Ajay Chouhan, Grievance Officer, AJC TECHNOLOGIES PRIVATE LIMITED
Email: ajc.technologies.pvt.ltd@gmail.com or acadxplore@gmail.com
Support form: acadxplore.com/contact

We will acknowledge your complaint and aim to resolve it within 30 days. If you are not satisfied, you may approach the Data Protection Board of India once it is operational, as provided under law.

13. Changes to This Policy

We may update this Policy from time to time. We will post the new version here with an updated effective date and, for material changes, notify you in the app or by email. Continued use after the changes take effect means you accept the updated Policy. See also our Terms of Service.
